Job Description

About Us:

We are a civil site construction company specializing in site development, utilities, earthwork, and related services. We operate in the residential, commercial and municipal markets throughout Central Florida. We’re looking for a detail-oriented, motivated AP Specialist to join our finance team and support the revenue cycle and billing functions, with opportunity to cross-train into accounts payable (AR) as needed.

Key Responsibilities:

  • Review incoming vendor invoices and verify appropriate documentation (purchase orders, job numbers, approvals) before processing for payment.
  • Enter invoices into the accounting system, code correctly (job cost codes, GL accounts, etc.).
  • Prepare and process payment batches: checks, electronic transfers, credit card transactions, ensuring timely and accurate payments.
  • Reconcile vendor statements, research and resolve discrepancies, ensure correct vendor master file information.
  • Monitor and control vendor balances and aging; follow up on past-due vendor invoices and discrepancies as required.
  • Support month-end close around AP: e.g., accruals, cut-off invoices, reconciling sub-ledger to general ledger.
  • Cross-train and assist with AR tasks when necessary: applying payments, credit card statement balancing, customer account reconciliations.
  • Assist with construction industry-specific flow: subcontractor pay-applications, retainage withholding, progress-billings and requisitions, job cost reconciliation.
  • Collaborate with project managers, field staff and vendors to clarify invoice issues, approvals and payment terms.
  • Proactively suggest and help implement process improvements to streamline AP workflows, reduce manual effort, improve controls.
  • Maintain accurate vendor master data, payment terms, contact information, job cost fields, and ensure compliance with company policies and accounting standards.


Qualifications

Required:

  • High school diploma or GED required; Associate’s degree in accounting, business or finance strongly preferred.
  • Minimum of 1-2 years of accounts payable or general accounting experience in construction, contracting or project-driven business.
  • Strong proficiency in Microsoft Excel (sorting, filtering, formulas, pivots).
  • Experience entering invoices, reconciling statements/ledgers, managing payment cycles.
  • Excellent attention to detail and accuracy.
  • Solid communication skills for liaising with internal stakeholders (PMs, field staff) and external vendors.
  • Ability to learn new systems, adapt to evolving processes and work both independently and as part of a team.

Preferred/bonus:

  • Prior exposure or willingness to cross-train into AR functions.
  • Familiarity with construction industry finance: job cost accounting, retainage, pay-apps, change orders.
  • Experience with accounting/ERP software (e.g., Acumatica, Emburse, ComputerEase, HCSS/HeavyJob Programs, or other job-cost systems).
  • Some experience with credit-card processing, vendor portals, electronic payment systems.

  • Office‐based role in Minneola, Florida - full-time in-office
  • Standard business hours; may require some extended hours at month/end or when closing projects.
  • Will interact substantially with project managers, field staff and vendors; the industry is construction so job cost tracking, retainage and flow of vendor paperwork is important.
  • Opportunity for growth: by cross-training on AR side and gaining construction industry experience, could progress to Lead AP/AR Specialist or Supervisor role.
