Description:

We are seeking a highly organized and detail-oriented Administrative Assistant / Receptionist to support our fast-paced ready-mix concrete company. This dual-role position requires a dedicated professional who can handle a variety of administrative responsibilities, coordinate office operations, and serve as the first point of contact for visitors and clients. Key Responsibilities:

Administrative Duties:

  • Manage day-to-day administrative tasks to ensure smooth office operations
  • Perform data entry with accuracy and efficiency
  • Maintain and organize filing systems, both digital and physical
  • Prepare reports, spreadsheets, and presentations in Microsoft Excel and Word
  • Handle scheduling, correspondence, and communication with vendors, clients, and contractors
  • Assist with project coordination by tracking deadlines, documentation, and materials
  • Process invoices, purchase orders, and maintain records related to job costs and materials
  • Provide general administrative support to management and field teams
  • Maintain confidentiality and professionalism in handling sensitive business information

Receptionist Duties:

  • Greet and welcome guests as soon as they arrive at the office, creating a positive first impression
  • Direct visitors to the appropriate person and office, ensuring they feel attended to.
  • Answer, screen, and forward incoming phone calls promptly and professionally
  • Provide basic and accurate information in-person and via phone/email
  • Receive, sort, and distribute daily mail/deliveries
  • Order office supplies and keep inventory of stock
Requirements:
  • Previous experience in construction administration (preferred)
  • Strong proficiency in Microsoft Office (Excel, Word, Outlook) (required)
  • Proficiency in QuickBooks (required)
  • Exceptional organizational and multitasking abilities
  • High attention to detail and ability to meet deadlines
  • Strong communication skills, both written and verbal
  • Self-motivated with the ability to work independently and adapt to changing priorities
  • Ability to thrive in a fast-paced, high-pressure environment
  • Professional demeanor.
  • Ability to prioritize tasks effectively and manage time efficiently
  • Strong problem-solving skills with a proactive approach to challenges
  • Fast learner, adaptable to new tools and processes quickly

PHYSICAL DEMANDS AND WORK ENVIRONMENT:

Must be able to work in an office environment, sit up to 8 hours, lift, push or pull up to 10lbs.
