Administrative Assistant

A leading healthcare organization is seeking a highly organized and skilled Administrative Assistant to provide comprehensive support to managers and directors. Position Details

  • Job Title: Administrative Assistant
  • Location: This is an onsite position requiring rotation between two hospital locations:
  • Walnut Creek Hospital: 1425 S. Main St., Walnut Creek, CA 94596
  • Antioch Hospital: 4501 Sand Creek Rd, Antioch, CA 94531
  • Schedule: Monday - Friday, 8:00 AM - 5:00 PM
  • Compensation: Starts at $29.00 per hour, depending on experience.
  • Assignment Duration: This is a 12-week assignment.

Role Overview

The Administrative Assistant will play a vital role in ensuring the smooth operation of daily administrative functions, providing critical support to leadership. This position requires a proactive individual who can manage diverse tasks, coordinate complex schedules, and communicate effectively across various internal and external stakeholders.

Top Responsibilities

  • Scheduling & Calendar Management: Expertly coordinating and managing complex calendars and appointments for multiple leaders, including those involved in community work and board affiliations.
  • Meeting Coordination: Arranging and coordinating meetings, including reserving rooms and preparing agendas.
  • Communication: Drafting and editing detailed correspondence, reports, and presentations.

Key Responsibilities (Comprehensive)

  • Coordinates and manages executive calendars and appointments, organizing travel, meetings, conferences, and special events.
  • Performs general administrative tasks such as managing phone calls, filing documents, taking minutes for leadership meetings, and handling correspondence.
  • Conducts research, compiles data, and prepares reports as requested.
  • Drafts and edits emails, memos, reports, presentations, and other documents as needed.
  • Learns and applies a thorough understanding of the organization and its functional policies and processes.
  • Coordinates multiple and complex calendars and arranges meetings.

Required Qualifications & Skills

  • Experience: Typically 5-7+ years of administrative assistant experience supporting at the manager/director level, or related experience. We are looking to fill this role quickly and will consider candidates with less than 5 years' experience who demonstrate strong core administrative skills.
  • Education: High School Diploma or GED required; Bachelor's or Associate's degree preferred.
  • Core Skills:
  • Exceptional organizational skills.
  • Strong communication skills (both written and verbal).
  • Expertise in calendar management.
  • Ability to learn and apply a thorough understanding of a large, complex organization and its customers.
  • Systems Knowledge (Required):
  • Microsoft Outlook
  • Microsoft Word
  • Microsoft PowerPoint
  • Systems Knowledge (Basic to Intermediate): Proficiency in two or more Microsoft Office Suite applications (Word, Excel, PowerPoint, and/or Access), depending on department or business needs.
  • General: Working knowledge of email and office equipment (fax, phone, copier, etc.).
