Today we are seeking a Construction Document Controls Specialist to join our team at The McKissack Group, Inc. This role is located in Clay, NY essential for maintaining our high standards of quality and organization in document management. The Document Specialist will play a key role in ensuring that all project documentation is accurate, accessible, and compliant with industry standards.
Construction Document Controls Specialist will assist in the day-to-day construction document control needs of the project. Duties include, assisting in the maintenance and organization of a meta-data system (Aconex) that will catalogue and track construction documents and packages between the client and the many construction partners on the job, as well as printing of drawings either in-house or coordinating with a reprographic company.
This position calls for a detail-oriented person to manage individual document control functions and distribution of construction documents. Should be able to manage time well, multitask and prioritize tasks and responsibilities. They will regularly communicate with internal and external business partners and be required to work through issues autonomously. Also, maintaining both hard copy and electronic files, archive records in accordance with company procedures.
Other responsibilities include but are not limited to the following:
• Ensures the information and management control system is implemented in compliance with the Client/Project standards
• Maintain and organize project documentation
• Provide support to the construction management team as it relates to document control tasks
• Collect, transfer, create, log data, comments, etc.
• Data entry, processing, and scanning of all program document types
• Perform quality check for data entered the system
• Track responses to open action correspondence
• Assist team participants with administrative tasks with a focus on data accuracy
• Attend meetings, when required
Qualifications
• Minimum 5 years of previous experience managing a Document Control effort for construction projects
• Must be a self-starter attitude with proactive, results-oriented focus
• Effective oral and written communication skills
• Proficient in MS Office applications
• Proficient in PMIS software applications such as e-Builder, Procore, Bluebeam
• The ability to multi-task, handling numerous concurrent requests and teamworking skills
