Overview

Electro-Methods is seeking a Contract Administrator I with exceptional attention to detail and organizational skills to join our team. In this role, you will be responsible for managing the lifecycle of contracts— from initial quotation and review to contract execution and ongoing maintenance. The Contract Administrator I ensures that all contracts are accurate, complete, and fully aligned with company policies, regulatory requirements, and applicable standards. This role requires strong coordination skills, as you will serve as a key liaison between internal departments and external customers to facilitate efficient and effective contract execution. Success in this role depends on your ability to multitask, communicate clearly, and anticipate contractual issues before they arise, all while maintaining a high level of confidentiality and professionalism.

Key Responsibilities

 

  • Receive Request for Quotes from various customers and setup quotes within Electro-Methods’ ERP system and interact with the Company’s Estimating team
  • Receive, review and revise Purchase Orders from Electro-Methods’ customers and the Government
  • Act as a primary point-of-contact to customers with concerns, issues, account questions, etc.
  • Act as custodian of the Company’s technical data in the ERP system, ensuring drawing revisions are current and coordinate with the Engineering team on technical updates to ensure care, custody and control of all materials (customer and Company proprietary).
  • Maintain and track list of all outstanding customer issues as quotes and purchase orders.
  • Review weekly/daily Bid Due dates by running the Bid Due out Report - Communicate with the estimators on their completion status
  • Support and track contract termination workflows.
  • Document Tooling Lists from their initial release to final tool list and track payment from the customer.
  • Participate in Long Term Agreements negotiations.
  • Assist in answering the phones.
  • Assist in invoicing various customers.
  • Scan invoices into database system.

Qualifications :

  • Organizational skills and strong attention to detail
  • Proficiency with Microsoft tools:
  • Excel (formulas, reporting)
  • Word (contract formatting, redlining)
  • Teams & Outlook (collaboration and communication)
  • Excellent communication in cross functional team environment
  • Ability to manage multiple customer deadlines simultaneously.
  •  Previous aerospace or manufacturing contract administration background is a plus.
