Job Description

We are seeking a highly organized, proactive, and discreet Executive Assistant and Operations Manager to provide high-level support across personal and professional responsibilities. This pivotal role blends executive support, operational oversight, and project management within both family and business settings.

Key Responsibilities:

  • Executive & Personal Support : Manage complex calendars, travel arrangements, school and activity coordination, gift/event planning, and personal errands.
  • Operations & Communication Liaison : Serve as a key point of contact between the principal, domestic staff, and corporate teams to streamline priorities and ensure smooth communication.
  • Project & Task Management : Lead planning and execution of special projects, charitable initiatives, and long-term personal and business objectives.
  • Strategic Business Support : Act as a central hub for firm operations, including calendar management, team coordination, recurring deadlines, and records tracking.
  • Gatekeeping & Prioritization : Triage all internal and external requests, filter access to the principal, and determine appropriate follow-up based on urgency and importance.
  • Process & Systems Oversight : Recommend and implement improvements to operational processes, travel protocols, estate coordination, and cross-functional workflows.
