About the job

Reporting directly to the CEO, the Executive Assistant/Office Manager will manage everything from calendaring, travel, and expenses to office operations, team meetings, and company events. This highly organized and resourceful individual will ensure nothing falls through the cracks in our fast-paced environment. The ideal candidate will possess strong business judgment, excellent communication skills, and the ability to interact across all levels of the company. This is a unique opportunity to work closely with leadership and gain visibility into projects across the business.

 

The ideal candidate is someone with experience in administrative and support roles. You will be supporting functions cross-departmentally, with a focus on executive support and office management. This role involves a keen eye for detail, strong organizational and time management skills, and follow-through on any task provided. We’re looking for a strong utility player who can respond in a fast-paced environment, who knows how to be persistent, who is dependable, and would enjoy adding value to our team.

 

Responsibilities (include but are not limited to):

  • • Anticipate needs and provide proactive support to the CEO and founder.
  • • Oversee daily office operations, including liaising with the landlord, managing supplies, coordinating visitor access, and maintaining an organized and efficient workplace.
  • • Expertly manage day-to-day scheduling, coordination, and meeting logistics and materials.
  • • Help to foster a positive, inclusive, and high-performance workplace.
  • • Coordinate employee engagement initiatives, wellness programs, and team-building activities.
  • • Support HR processes including onboarding and offboarding activities
  • • Promote employee recognition and initiatives that strengthen company values.
  • • Identify opportunities for workplace improvements that enhance employee satisfaction, collaboration, and retention.
  • • Support internal and external communications; interact regularly and build relationships with colleagues across all departments and management levels.
  • • Coordinate complex travel itineraries and manage expense reports for CEO and founder.
  • • Support marketing and sales team with product sample shipments.
  • • Assist with IT support, working with external IT team & new hire onboarding and offboarding
  • • Help us run effective meetings; making reservations, printing materials, taking great notes.
  • • Think creatively to solve problems and suggest and implement new ideas.

 

Qualifications

  • • You have 2+ years of professional experience in administration or similar support roles.
  • • Exceptional attention to detail and organizational skills.
  • • You are proactive, auditing calendars and ensuring days run smoothly in advance.
  • • You are solution oriented and come to the table with creative ways to fix problems.
  • • You are highly organized, thoughtful and structured in your verbal and written communication - whether that is taking great notes that summarize information effectively or writing clear and concise emails.
  • • You are naturally able to build trust and great relationships with people within and outside the organization.
  • • You are reliable, trustworthy, and consistent in your ability to produce the highest quality work.
  • • Collaborative, approachable, and people-oriented, with a passion for building strong workplace culture.
  • • Self-starter with problem-solving skills and the ability to anticipate needs before they arise.
  • • You can be trusted with highly confidential information.
  • • You have high energy and a can-do attitude.
  • • You’re adaptable and flexible and thrive working in a fast-paced, dynamic environment.
  • • You’re results-oriented, with an ability to manage multiple projects simultaneously and expeditiously.
  • • You’re proficient with Google Workspace and Microsoft Office365: Outlook, Teams, SharePoint, PowerPoint & Excel.
  • • Familiarity with Expense reporting preferred.

 

Note: This role will require in-office presence in our lower Manhattan office.

 

Compensation

  • • Annual salary of $70-90k, based upon experience
  • • Discretionary annual bonus, based on individual and company performance
