The Role:

  • Responsible for the day-to-day sales operations.
  • Ensure office policies and procedures are being adhered to Business Development.
  • Generate fee agreements based on ensuring language consistency and compliance with established policies regarding fee structures.
  • Send agreements once approved via authorized signature channels; follow up with clients as necessary to secure signature.
  • File executed contracts into the appropriate database and digital folders.
  • Coordinate with the Marketing team to generate target lists for email campaigns, newsletters, etc.
  • Research, monitor, and review the database for inactive clients for potential opportunities for engagement.
  • Support Business Development activities through research of prospective targets.
  • Ensure all business development assets are accurate and updated as needed working with the Marketing and Operations team as needed Recruitment:
  • Coordinate job order assignments with Client Manager to ensure even distribution of work.
  • Communicate necessary client information to the recruitment team to ensure a smooth transition from Business Development to fulfillment team including job description, client insights, etc. ahead of intake call.
  • Coordinates facilitation of appropriate information to the Marketing team for creation and delivery of Market Message to begin working effective work on search.
  • Assist recruiting managers with the creation/updating of candidate recaps as necessary.
  • Support team by assisting with scheduling of items as needed.
  • Support team as necessary with creation, updating, and sending of candidate RECAPS as necessary to clients Reporting.
  • Monitor and record metrics such as “days to close” from lead generation to signing of the contract to find opportunities for improvements.
  • Track progress according to business plan from revenue and leads contacted/closed perspective.
  • Provide “Real-Time” displays of KPIs for the office screens Database Management:
  • Maintain ATS(Loxo) /CRM (Hubspot) database with the most updated client information.
  • Ensure that ATS / CRM properly communicates appropriate data.
  • Ensure compliance with organizational database goals by monthly compliance reports and notifying users when out of compliance.
  • Lead efforts for maintaining a “clean” database by training users on the proper use of the platform with the support of the Director of People.
  • Deliver monthly billing and cash-ins figures for franchise records.
  • Act as IT liaison between the team and our IT company.
  • Work closely with our appropriate systems and apps to ensure that our “tech stack” is functioning to the best of the team’s needs.
