Job Description

Position Summary: To provide accounting services for MennoMedia, including payroll processing, tax compliance, and financial bookkeeping, and to handle employee benefits, including insurance enrollment and elections.

Responsibilities

1. Monitors daily bank deposits, balances, transactions, and reporting for all MennoMedia bank accounts.

2. Processes payroll, handling information sensitively and confidentially.

3. In collaboration with the finance assistant and finance officer, oversees the correct vouchering of expenses with transparency and accountability.

4. Maintains Chart of Accounts and updates as needed.

5. Ensures that daily posting and journal reports are done each day. Takes the lead on resolving problems with posting and coordinates software updates with Acumen staff when necessary.

6. Prepares GL account analysis and reconciliation as needed.

7. Works with the finance team to manage donor restricted funds and apply them appropriately to expenses.

8. Tracks assets and records depreciation.

9. Processes month-end and year-end closing, including journal entries and financial reporting, in consultation with the finance officer as needed.

10. Oversees finances for the Shine curriculum project, completing monthly and quarterly reports and invoicing on time, billing personnel and other recurring monthly expenses, and accounting for credit card deposits from the Shine web store.

11. Receives inventory receiving reports and records inventory transactions. 

12. Makes sales tax and GST/PST payments monthly or quarterly and maintains records of sales tax exemption certificates for customers.

13. Maintains records of W-9 and W-8 BEN forms for vendors.

14. Quarterly writes off obsolete periodicals inventory and generates additional quarterly reports as requested

15. Prepares necessary paperwork, reports, and adjustments and serves as primary liaison for financial audit or review team.

16. Completes year-end financial tasks, including payroll reconciliation, W2 distribution, 1099 distribution, etc.

17. Annually processes open enrollment and employee elections for health, dental, vision, and ancillary insurance coverage.

Qualifications

1. Two-year business-related degree or equivalent experience in a finance office.

2. Strong working knowledge of Microsoft Office products and data-processing, and ability to learn ACUMEN ERP Software.

3. Knowledge of generally accepted accounting principles.

4. Able to work independently, with initiative, decisiveness, and good judgment.

5. Accurate and quick, with strong attention to detail.

6. Able to manage time, organize work effectively, and balance multiple responsibilities.
