Travel Administrative Assistant
Contract Duration: 12 months (possibility of extension)
Clearance: Must be clearable (Interim Clearance required prior to start)
Summary:
- We are seeking a highly organized and customer-focused Travel Administrative Assistant with strong proficiency in the Galileo GDS Reservation System to join a busy travel operations team. This role supports complex domestic and international travel arrangements for employees and guests, ensuring compliance with internal policies and government regulations.

Work Arrangement:
- Remote: Must reside within 100 miles of Lexington, MA
- Onsite requirement: Must be available to attend quarterly department meetings and initial onsite training for the first few weeks (a few days per week)

Administrative skills
Key Responsibilities:
- Plan, price, and book complex domestic and international itineraries via Galileo GDS , SAP Concur Travel , and other channels.
- Assist travelers and arrangers with travel requests, policy guidance, and troubleshooting reservation issues.
- Arrange air, hotel, rail, and ground transportation reservations; issue exchanges, refunds, and voids as needed.
- Advise travelers on foreign travel requirements (passport, visa, health, and safety).
- Perform quality control and fare verification to ensure compliance and cost efficiency.
- Update traveler profiles and maintain accurate documentation.
- Interface with airlines, hotels, car vendors, and housing bureaus for issue resolution.
- Collaborate with the after-hours travel service and internal travel office for escalations.
- Support reporting, administrative duties, and special projects assigned by the Travel Manager.
Required Qualifications:
- MUST have knowledge and proficiency with the Galileo GDS Reservation System
- High school diploma or equivalent and 5+ years of relevant experience ; associate degree preferred (education may substitute for experience)
- Experience using SAP Concur Travel and Request
- Prior experience in a high-volume travel agency or airline reservations environment
- Excellent communication, customer service, and problem-solving skills
- Proficiency with Microsoft Office (Excel, Word, Outlook) and collaboration tools (Teams, Zoom)
- Ability to manage multiple priorities with accuracy, diplomacy, and professionalism
Preferred Skills:
- Familiarity with airline accounting procedures
- Understanding of CRS data entry requirements for interface with accounting systems such as TRAMS
Additional Details:
- Candidates must reside within 100 miles of Lexington, MA.
- Interim clearance is sufficient to begin work.
- This is a long-term contract with strong potential for extension.
