Summary: Warehouse Coordinator

This position will work with the Supervisor and team to define and execute daily work requirements. It will assist with job assignment oversight and labor scheduling, with a focus on continuous improvement and recommending ways to enhance operations. The person in this role will closely monitor services, report any potential shortfalls to their direct Supervisor, and ensure smooth communication between office operations, staff, and management.

Duties and Responsibilities:

  • Respond to client inquiries.
  • Receive and action orders with the Warehouse Supervisor.
  • Assist with driver check-in and check-out processes.
  • Ensure files are managed in a timely manner, emails are addressed daily, and customer inquiries are handled promptly.
  • Update the client’s WMS system with order receipts and shipping information.
  • Print labels from the WMS system.
  • Prepare Bills of Lading (BOLs).
  • Liaise with the warehouse regarding container, airfreight, and truck deliveries and pickups.
  • Collect supporting documentation, including BOLs and Delivery Orders (DOs), for inbound and outbound shipments to support client invoicing.
  • Align 3PL warehouse billing with monthly client billing.
  • Ensure inventory is current and initiate cycle counts as needed. Investigate any discrepancies and take corrective action.
  • Assist in the warehouse as needed, including loading and unloading trucks.
  • Support freight receiving using scan guns when needed.
  • Cross-check and label orders with the warehouse team as required.
  • Assist in the Customs Examination Station (CES) with opening/closing containers, sealing boxes, and completing required worksheets.

  • This is a dual position (primarily in-office with some warehouse work as required).
  • Ability to interact and collaborate effectively with cross-functional team members, customers, sales, and customer service teams.
  • Knowledge of LTL, FTL, parcel carriers, and other forms of transportation; experience with automation is preferred.
  • Strong analytical, communication, and customer service skills
  • Excellent organizational and interpersonal skills.
  • Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
  • Warehouse experience, including operating forklifts and other equipment.

Education and Experience:

  • At least six months’ experience in logistics industry.

Physical Requirements:

  • Must be able to twist, stoop, squat, reach above shoulder level and crouch on a frequent basis. Individuals must be able to use proper techniques to lift 40 pounds.
