Position Summary

We are currently seeking a Administrative Assistant in our Costa Mesa, CA office. The ideal candidate will be self-motivated, friendly and able to make guests and visitors feel welcome while being comfortable with self-managing assigned tasks. Daily tasks include providing administrative support and assisting staff in overseeing and maintaining one or more active projects. Duties include general clerical, receptionist and project-based work. Project a professional company image through in-person and phone interaction.

Responsibilities

• Greet visitors, handle their inquiries, and direct them to the appropriate persons

Coordinate incoming and outgoing mail and parcel distribution

• Answer and direct phone calls to proper parties or offer to take messages

• Operate office equipment such as copiers, phone systems, and other applications

• Assist in organizing various meetings, conference calls

• Manage travel schedules; ensuring that all necessary accommodations, bookings, and transportation are accounted for and confirmed

• Facilitate team needs such as time-off requests, and catering requests for luncheons/meetings

• Act as the primary point of contact for building maintenance and facilities requests

• Create branded advertising campaigns and support the marketing and design teams by coordinating and collating content.

• Create, maintain and strengthen the organization’s overall brand through all media avenues.

• Take detailed notes and provide thorough summaries for team meetings

• Manage and stay in front of multiple busy calendars, balancing them appropriately

• Cultivate and maintain a pleasant and productive office environment

• Manage office supply inventory

• Handle other duties as needed

Requirements

• A minimum of 3 years of experience in an office atmosphere and assisting an administrative role

• Strong proficiency in Microsoft Office applications: Word, Excel, PowerPoint, and Outlook

• Self-starter with an ability to handle multiple tasks simultaneously

• Impeccable organizational and time-management abilities

• Excellent written and verbal communication skills

• Excellent attention to detail

• Strong critical thinking skills
