Job Description

A highly respected philanthropic foundation is seeking an Executive Assistant to the President & CEO for a temporary assignment (up to 6 months). This position will provide high-level administrative and operational support to the President’s Office, ensuring seamless day-to-day operations. The ideal candidate is mission-driven, detail-oriented, and experienced in supporting senior executives with discretion and professionalism.

***This is a hybrid role based in Los Altos, CA, requiring 2 days onsite per week with flexibility as needed.

Responsibilities

  • Provide executive-level administrative support to the President & CEO, including complex calendar management and scheduling of meetings.
  • Coordinate domestic and international travel arrangements, itineraries, and related briefing materials.
  • Support on-site and off-site meetings with partners and stakeholders, managing logistics and materials preparation.
  • Draft, proofread, and edit correspondence, presentations, and reports with precision and professionalism.
  • Serve as the primary point of contact for internal and external communications related to the President’s Office.
  • Collaborate with the Chief of Staff, Board Liaison, and leadership team to maintain efficient communication and operations.
  • Assist with planning and execution of internal events, such as staff meetings, executive off-sites, and organizational gatherings.
  • Process expense reports, contracts, and invoices, ensuring accuracy and timeliness.
  • Support administrative needs for Board and Committee meetings, including document preparation and distribution.
  • Uphold confidentiality, professionalism, and a high standard of service in all interactions.

Requirements

  • Bachelor’s degree required.
  • 3+ years of experience supporting C-level executives, ideally within nonprofit, foundation, or mission-driven organizations.
  • Strong written and verbal communication skills with excellent attention to detail.
  • Highly organized, adaptable, and capable of managing multiple priorities in a fast-paced environment.
  • Proven ability to handle confidential information with discretion and professionalism.
  • Proficiency in Microsoft Office Suite and Google Workspace.
  • Experience with event coordination, travel logistics, and executive-level administrative operations.

Compensation

$40–$45 per hour, depending on experience.
