Executive Assistant / Office Manager – Commercial Real Estate Development

Position Summary
OTN Development Group is seeking a dynamic and organized Executive Assistant / Office Manager to support its executive team and oversee key administrative and operational functions. This role offers a rare opportunity to work closely with company leadership on high-impact real estate development projects. In addition to classic executive support duties, the position will involve light property management responsibilities, basic bookkeeping, and project tracking, especially as the first buildings in our portfolio come online.
This is an on-site role based in Pittsburgh, PA.
Core Responsibilities
Executive & Administrative Support
• Provide direct support to the CEO, Head of Development, and COO
• Manage calendars, schedule meetings, and coordinate executive communications
• Organize and maintain files related to development, leasing, permitting, and legal documentation
• Review and format proposals, marketing materials, and investment decks with a high degree of accuracy
Office Management
• Maintain an organized and efficient office environment
• Oversee basic office procurement, vendor coordination, and internal workflows
• Serve as a general point of contact for internal and external stakeholders
Light Property Management
• Act as interim property manager for newly delivered buildings
• Coordinate basic tenant communication, vendor scheduling, and operational readiness
• Set up maintenance tracking and operating procedures for single-tenant, new-construction assets
Accounting & Project Coordination
• Support accounts payable by logging, tracking, and organizing invoices
• Assist with project budget tracking and coordination with accounting professionals
• Help manage key project milestones and task tracking in internal project management tools
Required Qualifications
• Minimum 5 years of experience in executive assistance, office management, or property administration
• Prior experience in commercial real estate, property development, or construction strongly preferred
• Familiarity with leases, title/closing documents, financial terms, and project workflows
• Excellent communication, organizational, and multitasking abilities
• Proficient in Microsoft Office Suite, Google Workspace, Adobe Acrobat, and basic project management tools (e.g., Monday.com, Notion)
• Comfortable handling sensitive financial and legal documents with discretion and attention to detail
• Working knowledge of bookkeeping and invoice tracking software; QuickBooks experience a plus
• Bachelor’s degree in Business Administration, Real Estate, or related field preferred
